How to print — every app and format
Step-by-step printing instructions for every common app: Excel, Word, PDF readers, Outlook, Gmail, Google Docs, and browsers.
To print mailing labels from Excel: create your address list in Excel with columns for Name, Address, City, State, ZIP. Then open Word → Mailings tab → Start Mail Merge → Labels → select your label size (e.g., Avery 5160) → Select Recipients → Use Existing List → select your Excel file → Insert Merge Field → Finish & Merge → Print.
To print an email: open the email → File → Print, or press Ctrl+P (Cmd+P on Mac). In Gmail: open the email → click the printer icon (top-right) or use Ctrl+P. In Outlook: open the email → File → Print. If only part of the email prints, check the print preview — the print dialog may default to 'Selection' instead of the full message.
To print gridlines in Excel: Page Layout tab → Sheet Options → check 'Print' under Gridlines. Then File → Print to see them in the preview. Note: the 'View' checkbox only shows gridlines on screen — you need the 'Print' checkbox to include them in the printout.
To set a print area in Excel: select the cells you want to print → Page Layout tab → Print Area → Set Print Area. Only these cells will print. To clear it: Page Layout → Print Area → Clear Print Area. You can also adjust this in File → Print → Settings → 'Print Active Sheets' dropdown.
To print from Excel: File → Print (or Ctrl+P). Check the preview — Excel often prints differently than it looks on screen. Adjust with: Page Layout → Margins, Orientation, Size. Use 'Fit Sheet on One Page' in the Scaling dropdown to avoid content being cut off across multiple pages.
To print a PDF: open it in Adobe Reader, your browser, or any PDF viewer → File → Print (or Ctrl+P). If the layout looks wrong in the preview, check 'Fit to Page' or 'Actual Size' in the print dialog. For PDFs that won't print, try 'Print as Image' in Advanced settings.
Open the document in any app → File → Print (or Ctrl+P / Cmd+P). Select your printer, check the preview, adjust settings like orientation, quality, and pages per sheet. If printing fails, make sure the correct printer is selected — it may default to 'Microsoft Print to PDF' or an old printer.
For best photo prints: use photo paper (glossy or matte) loaded in the correct tray. In the print dialog, set paper type to 'Photo Paper,' quality to 'Best,' and choose the correct paper size. On Windows, the built-in Photos app → Print works well. For professional quality, use the printer manufacturer's software which has better color management.
To print text messages: take screenshots of the messages and print the images, or use a third-party app like iMazing (iPhone) or SMS Backup & Restore (Android) to export messages as PDF. On Android, some phones have a built-in 'Print' option in the message thread's menu. There's no built-in way to print texts directly from most phones.
To print Google Slides: File → Print settings and preview → choose how many slides per page, whether to include speaker notes, and orientation. Click Print. For handouts with notes: select '1 slide with notes' in the layout dropdown. You can also download as PDF first (File → Download → PDF) for more print control.

To print envelopes: in Word, go to Mailings → Envelopes → enter addresses → Options to set size → Print. Load the envelope in your printer's rear or manual feed tray — check the printer for a diagram showing correct orientation. Most printers have the envelope face-down with the flap on the left.
To print an envelope in Word: Mailings tab → Envelopes → type the delivery and return addresses → click Options to select envelope size → click Print. Load the envelope in your printer's feed tray — check the printer's manual for the correct orientation (most printers have a diagram on the tray itself).
To fax from a multifunction printer: load the document in the ADF or on the glass, enter the fax number on the printer's keypad, and press Send/Start. The printer needs a phone line connected to its LINE/FAX port. For faxing without a phone line, use an online fax service like eFax, HelloFax, or your email provider's fax feature (some support fax-to-email).

To print a web page: press Ctrl+P (or Cmd+P on Mac) while the page is open in your browser. Use the 'More settings' section to remove headers/footers and background graphics for a cleaner printout. For pages that don't print well, try 'Reader Mode' first (if your browser supports it), or use the browser's 'Print to PDF' option to save and then print.
